Cancellation & Missed Appointment Policy

Purpose

At South Perth Dental Surgery, we are committed to providing timely, respectful and high-quality dental care to all patients.

Missed appointments and late cancellations reduce appointment availability for other patients and can affect the clinic’s operations.

This policy has been developed in accordance with the principles of:

  • Patient-centred care
  • Clear communication and fairness
  • Professional obligations

1. Appointment Confirmation

Patients may receive appointment reminders by SMS, email or telephone before their scheduled appointment.

Appointment reminders are provided as a courtesy. It remains the patient’s responsibility to attend their appointment or notify the clinic if they need to cancel or reschedule.

2. Cancellation and Rescheduling Notice

Please notify us as soon as possible and provide at least 24 business hours’ notice when cancelling or rescheduling an appointment.

Providing sufficient notice allows us to offer the appointment to another patient who may require care.

Appointments may be cancelled or rescheduled by:

  • Telephone
  • Voicemail
  • Email
  • Online booking platform, where applicable

3. Late Cancellations

A cancellation may be considered late when:

  • Less than 24 business hours’ notice is provided; or
  • The patient is unable to attend and does not provide adequate notice.


Late cancellations may incur a $90 cancellation fee.

Appointments involving laboratory work, custom appliances, crowns, veneers, dentures, aligners, implants or other items made externally by a third party may require:

  • Payment of the full amount on the day; or
  • A deposit of at least 50% before treatment begins.


Once laboratory work has commenced or materials have been ordered, the 50% deposit will become non-refundable because these costs have already been incurred by the clinic on the patient’s behalf.

We understand that unexpected situations can occur. Exceptional circumstances will be considered individually, including:

  • Medical emergencies
  • Sudden illness
  • Family emergencies
  • Severe weather
  • Other unforeseen events

4. Missed Appointments and No-Shows

A missed appointment or no-show occurs when a patient:

  • Does not attend their scheduled appointment; and
  • Does not notify the clinic beforehand.


Repeated missed appointments may result in:

  • A $90 missed appointment fee
  • A deposit being required to secure future appointments
  • Future non-urgent appointments being declined following repeated non-attendance

5. Deposits for Extended or Long Appointments

Certain appointments may require a booking deposit, including appointments involving:

  • Major dental treatment
  • Extended clinical time
  • Laboratory work
  • Procedures carried out under sedation


Any deposit requirement will be explained before the appointment is booked.

Deposits:

  • Will be credited towards the treatment cost when the appointment is attended
  • May be forfeited when an appointment is cancelled outside the required notice period

6. Clinic Cancellations

If South Perth Dental Surgery needs to reschedule an appointment because of practitioner illness, an emergency or another unforeseen circumstance, we will notify the patient as soon as possible and offer the next available suitable appointment.
